Document Storage And Records Management

Compu-Stor provides Confidential and Secure Document Storage. Document storage boxes are accommodated in long-span, high-rise metal shelving within totally secure ware-houses which meet the highest industry standards in terms of cleanliness, security, fire protection and pest control.

Records Management

Compu-Stor's database uses barcodes and hand held computers to track all picking, refiling, movements, delivery and collection of each and every item. The portable data terminals are carried by all warehouse and delivery staff and are synchronised back to the main system held at Compu-Stor.

Our Total Information Management System supports a totally secure web server for use by our customers. This interactive website offers live reporting, searching and ordering on-line. Some of the services available on the web are as follows:-

Files

Efficient file management is key in managing and retrieving specific information when and as required.

Compu-Stor's AM system has been designed with these needs in mind. This allows comprehensive tracking and reporting capabilities so that our customers receive fast retrievals, know where particular files are, who requested particular files, when etc. The history of individual items maintained on the system is extensive for maximum control.

Pallet Storage

Not all items fit into an archive box ... so for non-standard boxes and miscellaneous goods requiring secure storage, we offer storage on pallets.

• The capacity of one pallet is 2 cubic meters.
• Up to 8 teachest size boxes
• 4 four draw filing cabinets
• Up to 36 archive box equivalents

Pallets are stored on racking within the same secure facilities utilised for general document storage.

We offer very attractive storage rates which are considerably cheaper than self lock storage units. Not bad, when you consider the fact that we provide the highest level of security, full fire protection, pest control and a host of other features, including a barcode-driven tracking and operating system which is recognised as being the best records management software available in the world today.

Specialised Storage

In addition to storing and managing documents and data, Compu-Stor is very experienced in storing and managing a wide range of items for specialised industries.

This experience comes from servicing a number of government departments with their individual needs, together with meeting other industries' requirements such as the oil industry, where they utilize Compu-Stor's expertise to store sensitive material such as core and soil samples.

Security

At Compu-Stor, records are totally protected against intrusion by way of state of the art electronic alarm systems which communicate with our reputable monitoring company via the mobile data net with landline back-up. The security systems are monitored 24 hours per day and arrangements are in place for rapid patrol guard response.

FIRE SYSTEMS

Protection against fire is by way of advanced, early warning smoke detection and fire suppressant systems, with direct interface with the local Fire Brigade. All fire fighting equipment, including fire reels and extinguishers which are required by relevant Australian standards, is provided in all facilities and our employees are fully trained in their use. Electronic system and fire fighting equipment is regularly inspected and maintained by an authorised fire company.

CONFIDENTIALITY

All Compu-Stor employees must comply with our security requirements which include signing a deed of confidentiality at time of recruitment. Our staff selection criteria states that applicants for any position at Compu-Stor must obtain a clearance from the Federal Police Service prior to recruitment.

Employees are thoroughly trained in all aspects of privacy and confidentiality and we have in place a privacy policy which properly addresses the principles of Government privacy legislation (see attached).

VERMIN CONTROL

Compu-Stor's storage facilities are inspected and treated against pest infestation on a quarterly basis by a reputable pest control company. Copies of certification are available to our clients if required.

INTERNAL DATA BACK- UP

Compu-Stor operates a Microsoft SQL server database. This database is housed on a secure server with built in hardware redundancies such as mirrored drives, back-up power supply and replication to a second server. In addition to the hardware, the database is backed up every two hours during the day while in use and also fully backs up onto tape during the evening after office hours. The back-up media is kept off-site. Regular tests ensure the back-ups and associated systems are maintained to the highest possible standard.

Image and Data Recording

Compu-Stor has embraced the latest scanning technology and CD recording capability to process large volumes of paperwork; replacing paper libraries of technical, legal, historical and other reference material with CDs.

We are now able to transform your paper documents into an electronic filing cabinet. Text, photographs, CAD files and hand written notes are indexed and catalogued to suit your filing and retrieval systems.

Images and data stored on CDs can be accessed through an index or with the aid of search engines seeking phrases or key-words.

Computerised Cataloguing

Compu-Stor’s Archive Management System (AMS) allows direct internet access to your records. You can now directly catalogue information, edit the contents of boxes and generate management reports. This system will help you realize potentially huge savings in cataloguing costs and, at the same time, will result in improved efficiency in the management of your records.
